Expense tracker app that sorts bank files by your own rules

Import a statement from your online banking, photograph a receipt or type a purchase in. Finman marks duplicates, gives each expense a category from the merchant code or description keywords, lets your rules sort what lands in Other, and keeps budgets, subscriptions and reports up to date from the same list.

Three ways in, one sorted list of expenses

Short answer

Finman tracks expenses from three sources: CSV, OFX or QFX statement files from your bank, receipt photos, and manual entry, which also works offline. Each import is previewed with duplicates marked; categories come from the merchant code or keywords, and your rules sort what is left in Other. Every feature is free during the open beta, and file import needs no bank password.

From a statement file to a category you trust

The work an expense tracker saves you is the sorting. Finman does it with rules you can read and change, so the same purchase lands in the same place every month.

  1. 01

    Statement import with a preview

Upload a CSV, OFX, QFX or QBO file. Finman detects the layout, shows a preview table and saves nothing until you confirm. Most Canadian bank layouts come from published descriptions, so check the first rows of the preview the first time. Guide: importing a bank statement CSV.

  2. 02

    Duplicates marked before saving

Rows repeated inside the file and rows already in Finman are flagged in the preview, so importing overlapping months does not count a purchase twice.

  3. 03

    Your rules sort the rest

A rule matches the description, the category or the amount with contains, equals, greater than, less than or a regex, and sets a category. Rules run in your priority order and the first match wins. One Apply rules click runs them on every uncategorized expense, as often as you like.

  4. 04

    Merchant codes and keywords

On import, Finman uses the merchant category code when the statement carries one (monobank does) or keywords in the description, in English, Ukrainian and Russian. You can add your own categories.

  5. 05

    Receipt photos

With AI features on, an OpenAI GPT model reads the merchant, total, date and line items and suggests a category. With them off, text recognition on Finman’s server reads the merchant, total and date. You check the fields and save. More in how to scan receipts with your phone.

  6. 06

    Offline entry

Expenses you type in without a connection wait in a queue on the device and are sent in order when the connection returns, with a queued, syncing or synced status on each.

  7. 07

    What the list feeds

Budgets flag a category at 80% or when the pace will break it; the subscription detector finds repeating charges; anomaly flags catch a large transaction, a duplicate charge or a subscription price rise; reports and the forecast use the same transactions.

  8. 08

    Export any time

Download transactions as CSV, all data as JSON, or a Beancount ledger file.

The path of one expense

Whether it arrives in a statement file, from a receipt photo or from your thumb on the bus, every expense goes through the same checks before it reaches your budget.

Example rules. Put the narrow ones first: with the first-match order, “COSTCO GAS” above a general “COSTCO” rule sends fuel and groceries to different categories.

A monthly routine that holds

Download last month’s statement file from each bank, import it, and look only at the rows left in “Other”. Each merchant you cover with a rule is filed by one Apply rules click after later imports, so the pile shrinks month by month.

Cash and card purchases you want to log on the spot go in by hand or by receipt photo, offline if needed. Keep those in a separate cash or wallet account, or skip them in the preview when the card statement arrives: the duplicate check matches rows with the same date, amount and description.

Setup time depends on how many accounts you bring in and how tidy the bank descriptions are. The first import takes the longest; after that, rules do most of the sorting.

Who this expense tracker suits

  1. 01

People who prefer files to bank logins

Apart from monobank, banks reach Finman through statement files you download. Your bank password never goes to Finman; the trade-off is one import per account each month. Compared in bank sync vs manual entry vs file import.

  2. 02

    Households and individuals

Finman is a personal and household finance app. Keep business spending in its own account and categories; team expense reports, approvals and reimbursements belong to business expense software.

  3. 03

    Receipt keepers

Clear, flat photos read best. With AI features on, the photo goes from Finman’s server to the OpenAI model; with them off, it is read on Finman’s server.

  4. 04

Anyone who wants budgets from the same data

Expenses feed budgets, subscriptions, debts, the forecast and the AI CFO chat, so one list serves all of them.

Expense tracker questions

Comparing apps? Read best expense tracker apps or how apps categorize transactions.

What is the best expense tracking app?
The best fit depends on how you pay and whether you want a bank login in the app. Finman suits people who import statement files or type expenses in, sort them with their own rules and want budgets, debts and net worth in the same app. Our comparison of the best expense tracker apps groups the options by how you pay.
Can Finman track expenses automatically?
Sorting is mostly automatic: every imported transaction gets a category from the merchant code or keywords, and your rules sort what is left in Other with one Apply rules click. Getting transactions in takes a statement file import for most banks; monobank connects directly with a personal API token.
Is there an app to track expenses and receipts together?
Yes. In Finman you photograph a receipt, check the merchant, total and date it reads, and save it as a transaction in the same list as your imported expenses. With AI features on it also reads line items and suggests a category.
Do I need to give Finman my bank password?
File import works with CSV, OFX or QFX files you download from online banking yourself, so your bank password stays with you. monobank uses a personal API token, and manual entry needs no bank at all.
Does the expense tracker work offline?
Yes for entering expenses. Transactions you add without a connection are kept on the device and sent in order when the connection returns, with a status on each. Import, receipt reading and the AI features need a connection.
Is Finman free as an expense tracker?
During the open beta every feature is free with no card. After it, the Free plan stays at $0 with accounts and transactions, budgets and goals, and CSV import; Pro at $9 a month adds the AI finance assistant, bank sync and anomaly detection.
Can I use it as an expense management app for my business?
Finman is built for personal and household money. A freelancer can keep business spending in its own account and categories and export it as CSV, but team expense reports, approvals and reimbursements are outside what Finman does.
